Use Shared Folders to clip and store articles and videos, and share them amongst your colleagues who also log in to FPinfomart.ca.
Shared Folders are a subset of Saved Folders.
Access to Shared Folders is through the menu bar at the top of any FPinfomart.ca page. The number of Saved Folders and Shared Folders available to you will be shown; simply click "Shared Folders" to view a list of any Shared Folders you may access. You will see your own Shared Folders, as well as Folders which have been shared with you.
Creating & Sharing Folders
When a new Saved Folder is created (or by changing the Settings of an existing Saved Folder), you will be given the option to Share the Folder with colleagues.
If you elect to share the folder’s documents, notes, and comments, it becomes a Shared Folder. In this case, anyone in your organization who also has an FPinfomart.ca UserID will also have access to this Folder. They will be able to read documents you place there, comment on those documents, and they may also save additional documents to the folder themselves.
To keep the Folder private (only you have access to it), do not elect to Share the Folder.
To place items in a Shared Folder, user the Selected Items menu. Tick the checkbox next to the item(s) you wish to save & share, and select the Shared Folder from the drop-down menu. Note that all of your existing Saved and Shared Folders are listed. To create a new Folder, choose “Save To A New Folder.”
You may also save an item to a Folder from within the full text of a document, using the Document Tools menu in the top right corner of the article..
Adding Notes
When saving a document to a Saved Folder or Shared Folder, you can place a Note on the document. Only the person who adds the document to the folder can create a note.
Adding Comments
Anyone with access to a Shared Folder (either the Folder owner, or his/her colleagues) can add a comment to a document which has been saved to the Shared Folder. There can be unlimited comments on a document, allowing colleagues to create a conversation within the context of the document.
To create a comment, click “Add Comment” at the end of the full text of the document. All comments for that document will be listed, in chronological order, at the end of the document. The author of the comment is identified by his User Name.
The PEEK display shows the number of comment (if any) attached to any documents in the Shared Folder.
